Some briefs ask for a party. This one asked for a world. Our client wanted guests to step out of the everyday and straight into a wizarding great hall – and to keep the magic going all night, from the moment invitations landed to the final spellbinding send-off.
The brief
Create a fully immersive Harry Potter themed evening for 400 guests. The venue had to be unrecognisable: long banqueting tables, house colours, candlelight, and a sense of theatre from the first step through the door. The client also wanted interactive moments throughout the night rather than a static “themed backdrop”, plus catering and entertainment that stayed in-world without tipping into fancy dress cliche.
What we delivered
- Full set and prop design, including a great hall style banqueting layout with house banners, gothic candelabras and a floating-candle ceiling effect built with our lighting partner
- A themed arrival experience – guests were “sorted” on entry, with table plans built around the four houses to get strangers talking from the first drink
- Bespoke styling across every touchpoint, from platform-style signage and potion-bottle table centres to a wand bar and an apothecary-styled drinks station
- Themed entertainment programmed across the evening, including close-up magicians, an owl display on arrival and a live band for the after-dinner party
- Full production management – supplier coordination, venue liaison, run-of-show, AV and rigging, and a photography plan to capture the transformation
The outcome
The room got the reaction every themed event chases: an audible gasp on the doors opening. Guests stayed in the space all evening rather than drifting off to quiet corners, the interactive moments kept energy up between courses, and the client’s highlight reel has since become one of our most-requested showpieces for prospective themed event clients.
“They didn’t decorate a room, they built a world. Our guests still talk about walking into that hall.” – Harry Potter Event
